Administrative Assistant to Medical Director

September 2, 2010

The Administrative Assistant position is responsible for performing a variety of administrative duties for the Medical Director and staff doctor to include filing, typing, taking/delivering messages, composing memos and letters, travel arrangements, and report preparation. Maintains updated information regarding staff doctor’s schedules, accomplishments and publications.

Qualified candidate should have above average written and verbal communication skills including strong grammatical skills. Must have strong organizational skills with the ability to prioritize and multitask effectively under pressure. Must be able to work independently with minimal supervision and meet deadlines. Ability to apply and analyze data and maintain confidentiality in dealing with highly sensitive information. Must have willingness to learn and accept alternative approaches to work processes.

Minimum of four years administrative or secretarial experience working in an office environment, preferably in the academic healthcare field. Comprehensive knowledge of MS Office programs including Excel, MS Outlook Calendars, Power Point, and Word. Working knowledge of new technology such as smart phones, laptops, broadband cards, etc. High School diploma required. Bachelors or Associates degree preferred.

Research Associate

The Research Associate position is responsible for assisting in the support, coordination, and administration of a variety of research activity and projects. Individual will assist with work related to IRB-approved clinical research at UFPTI. Also responsible for assisting patients with completion of quality of life and administrative forms on the computer. This position will report directly to the Research Manager and may also report to the Biostatistician on specific data entry/based projects.

Qualified candidate must have a high school diploma and minimum of two (2) years experience related to research, billing, administrative/secretarial work or data entry or a Bachelors degree and one (1) year prior experience in these areas. Prior experience working in a medical office, oncology, research or in an academic environment preferred. Must be proficient in Microsoft Word, Excel, and Outlook. Proficiency in Access strongly preferred. Knowledge of basic HIPAA, privacy and confidentiality guidelines preferred.

Individual should be skilled in organizing resources, establishing priorites, formatting reports and have strong writing skills with a good command of grammar and punctuation. Must have strong interpersonal and communication skills and the ability to work effectively with a wide range of study participants. Must be able to maintain confidences related to sensitive information, multi-task and to work independently. Must be self-motivated and have attention to detail.
